Be sure you convey all your policies and protocols to your office staff, and plan to spend at least a few minutes at the start of every day with your office person, going over what’s happening and discussing any hot issues and problems. Try to convey as much detail as you can, because when he or she answers the phone or needs to make a decision, being up to speed will really help.

Warning: Whatever you hire someone to do, discipline yourself to watch over that person to be sure she or he is doing it right. There’s a tendency among those of us who prefer gardens over desks to ignore dull things like the profit-and-loss statement, the balance sheet, accounts payable, and so on. That can be fatal to your business because your office person can be cheerfully entering things in the wrong places, letting bills go unpaid, and worse. Even simple things can cause big headaches if they’re done wrong. I once fired a secretary (after many other screw-ups) because she put the same zip code on all the pieces of a mass mailing. She explained that she thought it would save time!
